Zurmo contains a collaboration feature that can be a highly efficient tool in collaborating with colleagues on projects and project tasks. Collaboration on a project task can be accomplished in two ways. The first is to establish the collaboration opportunity at the time that the task is created. The second is to open the task from within the project and update the collaboration window. For this post we will use the second approach.
The first step is to make sure you are on your Zurmo Dashboard. By selecting the Home button you will be situated on your Zurmo Dashboard.
Once on the Zurmo Dashboard, you notice the panel with the Home button also contains several other options such as Inbox, Accounts, Leads, Contacts, Opportunities, Marketing, Reports, and Projects.
Select the Projects button on the Dashboard navigate to the Project section of Zurmo.
When the screen refreshes you will notice your Project in the Active Projects list. Click on the project name to see the tasks within the project.
Once the project name is selected, the tasks and their respective status is reflected in the Project’s status board which resembles a Kanban Board. In this case we only have one task (Task 1) which has progressed to the ‘To Do’ status. Click on the Task name (Task 1 in this case) to open the collaboration window.
Once the collaboration window opens, a variety of options for collaborative exchange with other users appear.
Other users can add comments on the task and click the Comment button to submit their comments which might include questions about the task.
Users can subscribe to receive notifications on project updates.
The thumbnail profiles are people who have subscribed to receive updates on this task in order for those with a stake in the task to stay informed.
The collaboration screen in Zurmo also provides functionality to create checklists within the task. Simply add the checklist item label in the checklist field and click Add to add the checklist item. In this case we have added ‘Run Test on Task 1″ as a checklist item. Note that after selecting the Add option for the checklist item, it posts just above the input field with a check box. You can add as many checklist items as are necessary to support the task.
One final option on the task collaboration screen is to add files to the task collaboration screen. To add files click on the ‘Add Files’ label in the bottom left corner of the task collaboration screen.
Once you click the ‘Add Files’ label, Zurmo will open your computer’s file structure to allow you to pick the file you wish to add to the task collaboration screen. Zurmo will add a link to the file on the bottom of the task collaboration screen.
